Booking confirmation settings

You can control how bookings are confirmed in Bookem - automatically, after payment, or manually - depending on your workflow. This can be customised per service for online bookings and for your team when creating internal bookings.

Customise online booking confirmations (per service)

You can decide how each service handles online bookings made by clients

Follow these steps:

  1. Go to Settings > Services

  2. Open the service you want to update

  3. Scroll to the Online bookings section and make sure online bookings are enabled

Under How would you like to confirm online bookings for this service?, choose one of the following:

  • Automatically confirm bookings ā€“ bookings are confirmed instantly after submission

  • Confirm bookings after payment ā€“ bookings are confirmed once payment is received

  • Manually review and confirm bookings ā€“ bookings require manual approval by a team member

šŸ•’ Note on the booking reservation window When using manual confirmation or payment-required settings, the time slot is temporarily reserved while the client completes the booking.

This is controlled by the unconfirmed reservation period, found in Settings > General preferences

  • During this time, the slot is blocked from other online bookings and visible on your calendar

  • If the client does not complete the booking in time, the slot becomes available again

This helps reduce double bookings, but it's important to monitor these pending bookings if manual confirmation is required

Set booking preferences for team-made bookings

These settings apply when team members create bookings internally, rather than through the online booking page

Follow these steps:

  1. Go to Settings > General preferences

  2. Scroll to the General bookings section

Under Default status for bookings created by team members, choose your preferred option

  • Confirmed ā€“ bookings are confirmed immediately

  • Awaiting payment ā€“ bookings are confirmed once payment is received

  • Pencilled in ā€“ bookings require manual confirmation

This allows you to manage how bookings are handled behind the scenes, ensuring your team follows a consistent process across all services

By tailoring these confirmation settings, you can create a booking experience that suits your business - offering flexibility, control, and clarity for both clients and your team
