How do I send forms automatically?

Client intake forms can be sent automatically to new clients once their booking is confirmed, helping you save time while collecting important information.

Your Bookem account includes a default intake form and appointment template. If you’d like to edit this template, create a new form, or customise the automated message, follow the steps below

How to send forms automatically

Follow these steps:

  • Before you start, make sure you have the correct service set up to link the form to (Learn more here)

  • Go to Settings > Automated messages

  • Click 'New reminder' or edit an existing reminder

  • Select the service type, location, and team member or resource for the appointment

  • Under occurrences of bookings, select ‘any booking’ or 'first booking'

In our example we are setting up an automated message that will send an intake form, any time a client books a service named Initial consultation

  • Edit the message text to include a custom note for clients before enabling automated form delivery

  • To link the form, type # in the message box. A list will appear - search for and select the form you want to include and save

  • Make sure that your form is complete and easy to use

  • Test your automated messages to make sure that they are working properly
