Saving scanned documents, images, voice notes, or videos to Bookem Documents

With Bookem, you can easily upload and store images, documents, voice notes, videos, and more directly in a client’s document. This feature is available with Bookem Premium, which offers unlimited storage and supports most common file types.

Why upload files and media to documents?

Uploading files to client documents is a simple way to centralise all relevant records in one place. Here are some common uses:

  • Handwritten notes – Scan or photograph handwritten notes and attach them to the session record

  • Movement videos or photos – Record a client’s mobility or posture for future comparison

  • Voice notes – Quickly capture spoken notes during or after a session

  • Supporting documents – Store referral letters, lab results, school reports, or consent forms

How to upload files or media to a document

Follow these steps:

  1. Open your Bookem Calendar and navigate to the relevant booking

  2. Click on Documents under the client name or go to the client’s Documents tab

  3. Create a new document or open an existing document

Adding different types of files and media

To insert an image

  1. Click + Insert > Image in the formatting toolbar, or in the body of the document

  2. Choose an existing image or take a new photo from your device

To insert a scanned document, video, or voice note

  1. At the bottom of the document, click the paperclip icon

  2. Choose Media Picker or browse your device

  3. Select the file you want to insert into the document

Supported file types include documents, PDFs, images, video clips, audio recordings and more

To use speech-to-text (voice dictation)

  1. Click the microphone icon at the bottom of the document

  2. Allow microphone access if prompted

  3. While the microphone icon is red, speak clearly - your words will be transcribed in real-time

  4. Click the microphone again to stop recording

Final step: Save your work

  • When you're done, click Save & close

  • Your uploaded files will be stored with the document and accessible anytime under the client’s record
