When exporting documents to PDF in Bookem, you have two header options:
Use a default PDF header
Create a customised document header using a document template
Both options give your exported documents a polished, professional appearance - ideal for referral letters, reports, sick notes, and prescriptions.
Default PDF headers are automatically turned off for documents, but you can manually toggle them on if needed. These headers are not customisable, but include key details pulled directly from your business profile.
A default PDF header includes:
The document name or heading
The patient name
The date the PDF was generated
Your business logo
Your location name, address and contact details
After creating your document - whether from a booking, the client profile, or the Documents section - scroll to the bottom and click the “^” icon.
Then, tick Use default PDF header on or off.
⚠️ Note:
This setting will apply to all future PDF exports, including those that are sent via SMS or email, unless changed again
The toggle option only becomes available after the document has been created
If you'd like full control over the look and content of your header, we recommend using customised headers in document templates. These let you build a branded letterhead right into the document - ideal for professional exports.
You can include:
Your business logo
Practice details
Dynamic client or booking info using variables
Visual elements like columns, horizontal rules, or header text
🛑 Default PDF headers are automatically disabled for document templates. You can’t enable the default header on templates - only on standalone documents
Go to Documents > Templates
Open an existing template or click + New template
Use formatting tools to build your header:
Add an image for your logo
Use columns to arrange content side by side
Insert horizontal lines for clean separation
Include variables to auto-fill client, team member, or booking info
Name your template something like "Letters template" and Save. Now you can use this template when creating new letters.
⚠️ Avoid double headers: If you’ve created a custom header inside your document and then toggle on the default PDF header, both will appear in the exported PDF.
