How to add a referring doctors name to invoices

Including the referring doctor’s details on an invoice aids in tracking referrals, ensures complete records, and may be required by some medical aids. You can enter this information manually or automate it with a custom client field.

Option 1: Manually add referring doctor to invoice notes section

Here’s how:

1. Open the invoice and scroll to the ‘Notes’ section 

2. Type the referring doctor’s name and practice number directly into the text box

3. Click 'Save and send'

Option 2: Create a custom client field for referring doctor

💡 If you frequently include referring doctors' names, it’s best to add a dedicated field to the client profile and link it to your invoices.

Here’s how:

1. Go to Clients, click the three-dot menu (⋮) in the top-right corner 

2. Select ‘Profile fields’ 

3. Add a new field called “Referring doctor or other healthcare provider”

4. Click 'Save'

5. Now, go to Settings > Payment and invoicing

6. Under ‘Additional client information’, insert the field by typing the label followed by the # symbol and the field name

7. Click 'Save'

📌 Tip: Make sure the referring doctor’s name and practice number are entered on the client’s profile before generating the invoice so the information pulls through automatically.
