You can export invoices, line items, and payments from Bookem as spreadsheets. But if you're looking for more flexible reporting, head over to the Reports section to generate detailed breakdowns by service, team member, location, and more.
⚠️ Note: Reports are only visible to team members with Admin rights
Follow these steps to generate and customise financial or operational reports in Bookem:
Go to Reports from the main menu
You'll land on the Overview page, which gives you a high - level snapshot of your business performance. It includes:
Invoices: Totals for open and paid invoices
Clients: Breakdown of new vs returning clients
Bookings: Total number of bookings for the selected period
Booking Source: See whether bookings were made online or by team members
Utilisation: Shows the percentage of available time that’s been booked (sortable by team member)
Booking Trends: Track which services are most popular over time
You can filter the overall Overview by location and month, helping you compare performance across sites and time periods.
Go to Reports on the main menu
Click on the Accounts tab
In the Accounts tab of the Reports section, you’ll see some suggested reports to help you get started quickly. These include:
Earnings by ICD-10 code – See how much revenue each diagnosis or treatment code is generating
Earnings by team member – Break down total earnings by each practitioner or staff member
Earnings by code – View earnings grouped by item or service codes (great for tracking specific services or products)
You can use any of these as a starting point and then tweak the filters or layout to suit your needs. Or, if you prefer, click + Create blank report to build your own from scratch.
Choose:
A date range
A location (if you have multiple locations)
An invoice status (e.g. void, paid, open, or draft)
How you’d like to group the data (for example, by service or team member)
Click the eye icon to choose which columns appear
Choose whether to show prices as tax inclusive or exclusive
Once you're happy with your report setup:
Click Save report
Give your report a clear, descriptive name
Click Save
Your report will now be saved and available to access anytime in the Reports section - no need to rebuild it each time.
Bookem automatically adds a team member to invoices that are created from bookings. But if an invoice wasn’t created this way, it might not have a team member linked. This can affect your reports.
Luckily, it’s easy to fix:
Open the invoice
Add the team member in the Team member column
If you’re not sure who it was, go to the booking in your calendar to check who the appointment was with
Tip: If the team member column isn’t visible, click the eye icon on the invoice to turn it on.
