This article is for businesses that need to calculate earnings for individual team members - for example, for services they’ve provided or consumables and stock they’ve sold.
Bookem makes this easy - but it’s important to understand how and when team members are linked to invoices so that your reporting stays accurate.
When you create an invoice from a booking in your Bookem calendar, Bookem will automatically assign the associated team member to each line item - based on who the booking was with. This happens even if the Team member field is hidden on your invoice.
If you add more bookings to an existing invoice, Bookem will also link the correct team member to each of those new items.
However, not all line items come from bookings. Sometimes you’ll add extra services, consumables, or products (like skincare, medicines, or equipment) directly to the invoice - either at the time, or later on. These don’t have a booking behind them, so Bookem can’t automatically assign a team member.
To make sure every item is correctly linked to the right person, you can manually assign the team member when you add a new line item - either during invoicing or when editing later.
This is especially helpful for:
Consumables or stock sold by a team member during the appointment
Additional services that weren’t part of the original booking
Walk-in sales or products sold without a prior booking
💡 Pro tip: You can assign the team member right when setting up the line item. This avoids having to go back and edit the invoice later.
If the Team member field isn’t visible on your invoice, just click the eye icon to turn it on.
Once your invoices have the correct team member info, you can export and analyse them in a spreadsheet.
Here’s how:
Go to Accounts > Invoices
Click Export line items at the top of the page
Choose the start and end date range
Click Download to save the file to your computer
Open the .XLS file using Excel, Google Sheets, or Numbers
In the spreadsheet, look for the Team member/ Associated resource column - this will show you exactly who each service or product was provided by.
