How to use variables in Document Templates

Variables are used throughout Bookem to save time and reduce manual data entry. In document templates, variables act as dynamic placeholders that automatically pull in information - such as client details, location information, or clinical codes - and update whenever the source data changes.

Adding variables to document templates

Bookem allows you to create documents by pre-populating templates with relevant information using variables.

Here's how to add variables to document templates:

1. Go to Documents > Document Templates

2. Open an existing template or click '+New Template' to create a new one

3. Add variables by typing the '#' symbol followed by the variable name to insert a variable into the template

4. You can include any of the following variable types:

  • Client profile fields (e.g. first name, last name ID, gender)

  • Location details (e.g. address, phone number)

  • Team member details (e.g. name, practice number)

  • Data lists (e.g. ICD-10 codes)

💡 Variables will appear in orange within the template editor, so you can easily identify them

The example below shows how to use variables in a referral letter document template:

You can use $date as a variable in document template names to automatically insert a date.

  • If the document is created from a booking, the date will reflect the booking date

  • If the document is created from the Documents tab, the date will reflect the current day's date
