How to use variables in invoices

Variables in Bookem are dynamic placeholders that automatically pull in key information - such as client details, payment links, or business info - so your invoices and messages stay accurate and personalised. They update automatically when the source data changes, saving you time and reducing errors.

Using variables in invoices

You can customise invoice content by adding variables to include specific client or business details.

To edit your invoice set up:

1. Go to Settings > Payments & Invoicing

2. Scroll down to Additional client information

3. Type the # symbol followed by the variable name to insert a variable (e.g. #Medical aid name, #Membership number)

Common variables include: 

  • Client personal details (e.g. date of birth and ID number) 

  • Medical aid details

  • Business information (e.g. Practice number)  

  • Location details

4. Scroll down and click 'Save' when you are done

Using variables in invoice messages

Automated invoice messages in Bookem can include personalised client and payment information. These messages can also contain invoice - specific payment links, which enable automatic payment reconciliation.

To edit your invoice messages:

1. Go to Settings > Payments & Invoicing > Messages

2. Click to open and edit an automated message

3. Insert any of the following variables:

  • Business details

  • Invoice number 

  • Invoice amount  

  • Client details 

  • Payment links

4. Click 'Save'
