How to use variables in automated messages

Variables are dynamic placeholders that automatically insert important information - such as a client’s name, appointment date, or service details - into documents, invoices, and automated messages. They save time, reduce errors, and help keep your communications consistent and personalised.

This article will guide you through how to use variables in automated messages, ensuring your clients always receive accurate and relevant information.

Using variables in automated messages

Bookem allows you to insert specific details into your automated messages, helping you send out personalised and relevant communications automatically.

Using variables ensures your messages always contain up - to - date information pulled directly from your bookings, services and client profiles.

How to add variables to an automated message:

  1. Go to Settings > Automated Messages

  2. Click to open and edit the message you'd like to customise, or create a new automated message

  3. Type the # symbol followed by the variable name to insert it ➤ The message variables will appear in purple, making them easy to identify within your message text

Common variable types:

  • Appointment details (e.g. start time, service name)

  • Client details (e.g. first name, last name)

  • Location information (e.g. address, directions)

  • Business information (e.g. contact details)

  • Form links (e.g. Intake forms, questionnaires)

  • Video call links

Example:

Hi #First name,

This is a quick reminder that you have a #Service name scheduled for #Start time, #Start date (#Time zone) with #Resource names

More details at #Link to booking

Regards,

#Business name

Phone: #Location phone number
