How to send Documents in Bookem

Bookem helps manage and send documents to streamline your administrative tasks.

Sending documents are useful for documents such as

  • Referral letters

  • Prescriptions

  • Sick notes

  • Post-consultation programs (eg. meal plans, exercise plans, rehab plans)

  • Or any other documents that you might regularly need to email, print or send a link for

A note on document templates: It's crucial to set up appropriate templates for each. Bookem offers basic templates that can be customised to your needs.

How to send a document

1. Create a new document

  • Go to the client's profile

  • Navigate to the 'Documents' tab

  • Click '+New document' to create a new document

  • Select a template or start with a blank document

  • Alternatively, open an existing document

2. Complete the document

  • Consider adding any of the following to your document notes:

    - Tables

    - Checklists

    - Drop-down lists

    - Columns

    - Free drawing areas

    - Diagrams and images

    - Page breaks

    - Horizontal lines for section separations

    - Document headers

    - Other document templates

  • Once you've completed your session notes, click 'Create & close'

3. Click the arrow icon on the top right of the document

  • Now, click 'Download', 'Send' or 'Copy link'

Clicking 'Download': The document will be saved to your computer as a PDF. You can then send or file it as necessary.

  • Note: If you send it from your regular email address, there will be no tracking of this in Bookem.

Clicking 'Send': A popup will prompt you to send the link to the client.

  • Via email: The default email will be auto populated, but you can enter a different email address if needed. Multiple email addresses can also be entered. The link will open the PDF version of the document.

  • Via SMS: The default contact number associated with the patient will be auto populated You can enter a different number if needed. Bookem doesn't support sending documents via SMS to more than one person

Clicking 'Copy link': This will copy the link to your device's clipboard. It can be pasted to be shared via WhatsApp, email, SMS, etc.

Important note on shared document links

When you share a link, you're sharing the saved version of the document. Any changes made after sharing won't be reflected; the original version will still be shown. To share updates, simply repeat the "send" steps, and Bookem will generate a new link automatically.
