Managing upcoming bookings for a deleted team member

When you delete a team member, Bookem checks whether they still have upcoming bookings on the calendar. If they do, you need to cancel or reassign those bookings before deleting the team member. This keeps clients from turning up for appointments with someone who is no longer on your team.

What happens when you delete a team member with upcoming bookings

If the team member has bookings in the future, Bookem shows a Can’t delete: upcoming bookings message instead of deleting them. The message tells you how many upcoming bookings they have and the three things to action before you delete them:

  1. View and action their bookings so you can delete the team member
  2. Revoke their login, which removes their access to Bookem
  3. Disable bookings, which stops new bookings being made with them and stops you being billed for an extra team member

Revoking login and disabling bookings don’t affect existing bookings. These stay in place on the calendar.

How to delete a team member with upcoming bookings

You can see a team member’s upcoming bookings from the deletion message or directly from their profile.

Follow these steps:

  1. Go to Settings > Team members and open the team member’s profile
  2. Click 'Delete'
  3. In the message that appears, click 'View bookings', or click the linked number of upcoming bookings
  4. Alternatively, from the team member profile, go to the 'Upcoming bookings' tab
  5. To clear the way for deletion, move each booking to another team member or cancel it
  6. Once the team member has no upcoming bookings, return to their profile and click 'Delete' again

Note: Check the invoice linked to each booking. If an invoice is still open, decide whether to void it, move it with the booking, or keep it before you cancel or reassign.
